When a Hong Kong sales owner takes leave, Alibaba.com RFQs do not pause. Accio Work can keep Level 0 drafts moving only if the handoff package is complete. A missing price exception list or an outdated catalog pin turns a vacation into a week of conflicting quotes.

What belongs in the handoff pack

  1. Pinned catalog revision id and freeze instructions if factory data changes mid-leave.
  2. Brand and SKU scope Accio Work may touch; explicit out-of-scope list.
  3. Open quote versions with status (sent / pending / superseded).
  4. Escalation owners covering Levels 2–5 while the primary is away.
  5. Buyer segments that require human tone (strategic accounts, active claims).
  6. Language coverage: who reviews DE/ES drafts if the usual owner is offline.
  7. After-hours Mode A/B/C setting for the leave window.

Store the pack where ops and the backup seller can both open it. Accio Work should read the same sources—not a private spreadsheet on someone’s laptop.

What Accio Work may do during leave

  • Draft Level 0 replies from the pinned catalog for in-scope SKUs
  • Ask missing-field questions using the checklist
  • Acknowledge after-hours messages under Mode A
  • Flag threads that match open claims or off-menu Incoterms

What it must not do

  • Approve discounts the primary seller “usually gives”
  • Reopen superseded quote versions
  • Speak for strategic accounts marked human-only
  • Invent lead times when capacity notes expired

Backup seller checklist (day 1 of leave)

Confirm Accio Work still points at the pinned revision. Sample five drafts. Page the named Level 4–5 owners with a test. If any fail, drop to acknowledgement-only until fixed.

Common failure

The primary seller writes “just use judgment” in a WeChat note and leaves. Judgment without version ids and menus is how buyers receive three prices by Wednesday. Replace judgment with a pack.

Closing

Vacation is a control test. If Accio Work cannot run safely on the handoff pack alone, the desk was never ready for unsupervised Level 0—even when everyone was in the office.

  • Leave window (HKT dates)
  • Primary / backup / Level 4–5 pages
  • Catalog revision + last refresh time
  • In-scope brand_codes
  • Open claims (block new quotes? Y/N)
  • Approved temporary autonomy level (shadow / Level 0 only / none)

Fill it the afternoon before leave—not at the airport.

Role cards during leave

Backup seller: Owns Level 0–1 approvals and daily sample of Accio Work drafts. Does not invent commercial exceptions “to keep the buyer warm.”

Ops: Owns catalog pin and capacity-note freezes. If a factory changes mid-leave, ops freezes affected families even if sales is offline.

Finance / compliance: Remain on Level 4–5 pages. Vacation is not a reason to lower the stop line.

Accio Work: Stays inside the pack. If a field is missing from the pack, the agent asks or escalates—it does not improvise from memory of prior deals.

Pre-leave dry run (T-minus 1 business day)

  1. Switch Accio Work to the leave autonomy level stated in the pack.
  2. Plant one off-menu Incoterm RFQ and one claim-flavored message.
  3. Confirm both stop correctly and page the named owners.
  4. Confirm strategic accounts still require human send.
  5. Sign the exit checklist; only then start leave.

Skipping the dry run is how “temporary” unsupervised mode becomes a week of exceptions.

Returning from leave

The primary seller should not immediately raise autonomy. First: read supersession log, open claims, and sample scores from the leave window. Refresh any expired capacity notes. Then restore the normal autonomy level explicitly.

Why this belongs in Accio Work ops, not HR

Leave coverage is usually treated as a people problem. On an Alibaba.com desk with automation, it is also a data and permission problem. Accio Work will keep drafting against whatever sources remain connected. The handoff pack is how you choose those sources on purpose.

Minimal pack vs extended pack
