- Description: How Hong Kong export desks quality-check multilingual Accio Work RFQ replies before send.

A fast RFQ reply is not a good reply if the German buyer receives a different promise from the English buyer, or if a Spanish version quietly changes the unit, lead time, or payment route. Hong Kong export desks working across Alibaba.com markets need a repeatable quality check for multilingual replies. The objective is not to make every message sound like a native marketing brochure. It is to preserve commercial meaning, make uncertainty visible, and ensure that a human can approve the final answer before it reaches a buyer.

This checklist is designed for English (EN), German (DE), and Spanish (ES) replies prepared by a sales desk or assisted by Accio Work. It applies whether the source RFQ is written in one of those languages or has been translated from another language. Treat the English version as the internal reference only when the underlying facts are actually approved; never use fluency as evidence that a claim is true.

## 1\. Freeze the commercial source before translating

Start with a short source record, not a free-form paragraph. Capture the buyer's requested SKU or product family, configuration, quantity, destination, intended use, target date, delivery term, currency, payment route, documents requested, and the next action. Mark every field as confirmed, estimated, missing, or requiring approval.

Separate facts from proposed wording. “MOQ is 500 pieces” is a fact only when it belongs to the requested variant and has a current owner. “We can probably ship next week” is not a fact to translate; it is an unresolved assumption. If a number is conditional, write its condition next to it before producing any language version: “sample lead time: 7–10 working days after artwork approval,” for example.

Accio Work can help assemble the source fields and flag omissions, but the desk remains responsible for the approved record. A controlled [Accio Work workflow](https://aliad.hk/en/accio?ref=corpablehkops.mymagic.page) should draft from permitted values rather than inventing a confident sentence around a blank field.

## 2\. Check terminology by concept, not by word

Build a small glossary for recurring commercial terms. At minimum, define the preferred wording for SKU, model, variant, sample, production order, MOQ, lead time, quotation validity, tooling, artwork approval, inspection, certificate, Incoterm, freight, duties, and payment. Include terms that must remain in English, such as a product standard or a contractual Incoterm, when translating them would reduce precision.

The glossary should also record forbidden shortcuts. “Delivery” can mean dispatch, transit, or arrival; use a phrase that states which event is meant. “Free sample” can hide who pays freight and duties. “Certification” can imply an approval that the company does not hold. In German and Spanish, a grammatically natural noun may still be commercially broader than the source term, so reviewers should compare the concept and scope, not just spelling.

Keep units, decimal separators, currency codes, and ranges controlled. English “1,500 units” can be misread when punctuation is copied into another locale. Use a format the buyer will understand, and retain the ISO currency code where there is any risk of ambiguity. Never convert a measurement or currency merely to make the sentence look local unless the conversion is labelled and approved.

## 3\. Run an EN source QA pass

Before translating, check the English source against the RFQ and the approved catalog or quotation record:

- Does the reply answer the buyer's actual product and configuration, rather than a similar listing?
- Are quantities, MOQ, price basis, currency, and validity period explicit?
- Does the lead time have a start event and a working-day or calendar-day label?
- Are Incoterm, named place, freight responsibility, duties, and insurance separated?
- Are requested certificates described by exact model, market, and status?
- Are customization, sample, tooling, packaging, and inspection conditions stated?
- Is the call to action a specific question or next step?

Delete claims that cannot be supported. “Ready to ship,” “compliant,” “best price,” and “guaranteed delivery” are not harmless filler. If the desk does not know, say what needs confirmation and name the expected owner. A reply that asks one precise question is better than a polished reply that makes a buyer rely on an invented answer.

## 4\. Compare the DE version for legal and operational drift

German QA deserves special attention because a natural translation may sound more definitive than the source. Check modal verbs and commitment strength. A tentative “we can check” must not become a phrase that reads like “we will provide.” A proposal must not become an obligation. Review whether “voraussichtlich” (expected) or “verfügbar” (available) has accidentally changed a condition into a promise.

Check compound nouns and noun scope. A long compound can combine two separate conditions and make the sentence appear to guarantee both. Break complex statements into short sentences when the buyer needs to distinguish product availability, document availability, and final approval. Confirm that “Lieferzeit” is not being used for both production lead time and arrival date.

Review formal address and pronouns consistently. Keep the tone professional without adding intimacy, urgency, or pressure that is absent from the source. Make sure “Muster” is used for the intended sample context and that a “Prüfbericht” or “Zertifikat” is not mentioned unless the underlying document exists for the exact item.

## 5\. Compare the ES version for scope and ambiguity

For Spanish QA, check whether singular and plural forms change the commercial scope. “La muestra” is one sample; “las muestras” may imply a larger set. Confirm that quantity, gendered nouns, and product options still point to the same SKU. Pay attention to “entrega,” which can be understood as delivery to the destination; if the source means dispatch, say so explicitly with a date or event.

Review time expressions and decimal notation. “En 10 días” should say whether that means working days or calendar days and from which approval or payment event the clock starts. “Precio desde” should remain a starting price, not a fixed quotation. “Sin coste” should never be used for a free sample if the buyer still pays freight, duties, inspection, or tooling.

Avoid translating compliance shorthand into an absolute claim. If the source says a report is available on request, the Spanish version should not say the product is certified. For an unresolved requirement, use a clear request for the destination market, intended use, or exact standard so the responsible reviewer can respond.

## 6\. Use a side-by-side numeric and entity check

Put EN, DE, and ES in columns or adjacent blocks and compare only the high-risk fields first: SKU, variant, quantity, MOQ, price, currency, validity, lead time, date, Incoterm, named place, percentage, document status, and payment instructions. A second person should verify numbers against the source record, not against another translation. This catches a common error where two translations agree with each other but both copied an outdated English draft.

Check proper nouns, company names, addresses, ports, standards, and URLs character by character. Do not translate an official entity name or alter a buyer's company name to make it grammatical. Confirm that product model codes, serial references, and version numbers have not been “corrected” by autocorrect or localization.

Use a short redline test: remove the language labels and ask a reviewer to identify the promised price, delivery event, payment route, and required buyer action in each version. If the reviewer cannot find the same answer in all three, the reply is not ready.

## 7\. Apply channel, safety, and approval gates

Before sending, confirm that the message stays on the approved Alibaba.com route or other authorized channel. Do not let translation introduce a personal bank account, off-platform payment request, or instruction to misdeclare goods. Any request involving sanctions, regulated products, unsafe goods, document misuse, unusual payment, or a material compliance claim goes to a named human owner.

The [RFQ checklist](https://aliad.hk/checklist?ref=corpablehkops.mymagic.page) can be the shared sign-off record: source facts, translation status, reviewer, unresolved questions, and final approval. Record who checked the three versions and when. If a buyer changes quantity, destination, variant, or delivery term after QA, reopen the check; do not patch one language and assume the others remain aligned.

## 8\. Send a clear multilingual reply

Use the buyer's preferred language first, followed by a concise English reference only when it helps the parties coordinate. Do not send three full versions by default if that creates conflicting copy. If a machine-assisted translation was used, have a competent reviewer check the commercial meaning before sending. The reviewer does not need to rewrite every sentence, but must own the high-risk fields and commitment strength.

Close with one or two answerable questions: “Please confirm the voltage and destination port,” or “Should the quoted lead time start after artwork approval?” Then state the next step and owner. A multilingual reply is successful when the buyer knows exactly what is available, what is conditional, and what must be confirmed.

For teams formalizing this process, [services](https://aliad.hk/services?ref=corpablehkops.mymagic.page) should map the review and escalation handoffs rather than promise automatic approval. Keep platform and assistance charges distinct, and direct commercial questions about fees to the public [pricing](https://aliad.hk/pricing?ref=corpablehkops.mymagic.page) reference. The [aliad.hk](https://aliad.hk/?ref=corpablehkops.mymagic.page) home reference can remain in the signature.

A three-language QA pass is a small control with a large payoff. It reduces rework, protects the export desk from accidental commitments, and gives serious buyers the same answer regardless of language. Speed comes from a stable source record, a focused glossary, and explicit human gates—not from sending an unchecked translation faster.
