# After-hours buyer urgency vs hard commercial stops for Accio Work on HK desks

Alibaba.com buyers do not wait for Hong Kong office hours. Friday 22:00 RFQs asking for immediate DDP pricing, Sunday sample promises, and midnight payment-instruction changes create pressure to “just reply something.” Accio Work can help acknowledge and triage. It must not dissolve hard commercial stops because the clock says urgency.

## What urgency changes—and what it does not

Urgency can change:

- Who is paged (duty manager vs next business day)
- How fast an acknowledgement goes out
- Whether a holding template is used

Urgency does not change:

- Approved price bands
- Incoterm menus
- Payment routing rules
- Compliance and claim ownership
- The need for evidence before quality statements

If a rule is hard at 11:00 Tuesday, it is hard at 23:00 Saturday. Accio Work should encode that, not argue with it.

## Recommended after-hours modes

**Mode A — acknowledgement only (default):** Accio Work drafts a calm receipt note, lists missing fields, and states the next review window in HKT. No commercial numbers beyond restating an already-sent quote version.

**Mode B — Level 0 restatement:** If the RFQ is fully covered by the pinned catalog and an approved quote template, Accio Work may draft a Level 0 reply for duty-manager one-tap approve. Still log version id.

**Mode C — page a human:** Payment changes, DDP/duties requests, regulated claims, injury/IP language, or large non-standard discounts. The agent does not invent a weekend exception.

Publish Mode A/B/C in the desk runbook. Ambiguity at 23:00 becomes an unauthorized yes.

## Templates that reduce harm

Good after-hours acknowledgement elements:

- Confirm receipt and inquiry reference
- Restate what is already known vs missing
- Give a concrete next checkpoint in Asia/Shanghai time
- Avoid “we agree” / “we can do that” / “price will be around”

Link buyers to public explainers when helpful—[checklist](https://aliad.hk/checklist?ref=corpablehkops.mymagic.page), [Accio Work](https://aliad.hk/en/accio?ref=corpablehkops.mymagic.page)—without implying a special weekend deal. Commercial pages such as [pricing](https://aliad.hk/pricing?ref=corpablehkops.mymagic.page) and [services](https://aliad.hk/services?ref=corpablehkops.mymagic.page) describe offerings; they do not approve exceptions. ## Duty roster requirements

Name a primary and backup for Level 4–5 after hours. If nobody is on roster, Mode A is mandatory and Mode B is off. Do not leave Accio Work in unsupervised publish overnight to compensate for an empty roster.

## Measuring weekend quality

Track separately:

- After-hours sends that introduced new commercial terms
- Pages that went unanswered past the promised checkpoint
- Monday claim or contradiction threads that cite weekend replies

If those counts rise, reduce autonomy before adding more languages or SKUs.

## Closing rule

Buyer urgency is a scheduling input. Hard stops are a control. Accio Work should make the acknowledgement faster and the unauthorized promise harder—not the reverse.

## Interaction with holidays

Hong Kong public holidays and Mainland factory shutdowns often coincide with buyer peaks elsewhere. Update Accio Work holding templates with the actual restart window—not a generic “soon.” If factories are offline, do not let the agent imply standard lead times from a pre-holiday catalog note without an ops refresh.

## Training tip

During onboarding week, run one simulated Friday-night drill: off-menu Incoterm + urgent tone. Confirm the system stays in Mode A or C. If it produces a complete yes, fix configuration before the real weekend.

## Examples

**OK:** Buyer at 22:30 asks for stock of a standard SKU. Accio Work drafts Mode B restating catalog MOQ and asks quantity; duty manager approves.

**Not OK:** Buyer at 22:30 asks to pay a personal Alipay for “speed.” Accio Work must Mode C—acknowledge and page finance—not draft alternative payment poetry.

**Not OK:** Buyer threatens a chargeback at 01:00 and Accio Work apologizes with a refund promise. Ownership first; acknowledgement only until finance decides.

## Coordination with weekend/holiday playbooks

After-hours rules should align with the desk’s weekend coverage matrix. If ops is offline until Tuesday after a long holiday, Mode B must not imply normal lead times. Refresh the holding template with the real restart date before the holiday begins—not in the panic of the first urgent ping.

## Policy snippet you can paste into the runbook

“After 19:00 HKT weekdays and all day weekends/Hong Kong public holidays, Accio Work defaults to acknowledgement-only unless (a) the RFQ is Level 0 against the pinned catalog and (b) a duty manager is on roster to approve. Any request involving payment path changes, off-menu Incoterms, regulated claims, or compensation language pages finance/compliance and must not receive a complete commercial reply from automation.”

Put the snippet next to the escalation ladder. Tools follow written policy better than verbal “use judgment at night.”

## Buyer education without lecturing

Some buyers will keep pushing. The desk can explain that accurate terms require the same controls day or night. Accio Work should not moralize; it should stay factual and offer the next checkpoint. If the buyer needs a human call, schedule it in HKT business hours or with the duty manager—do not invent a midnight exception to close the chat.
